  1. What is StudentSpace?
    • In 1998 StudentSpace company has been officially formed with a vision to help higher educated by making them employable.
    • In 2001 StudentSpace product suite “student tracking and retention system had been launched.”
    • In 2003: Awarded by OHIO house of representatives for education innovation.
    • StudentSpace Portal software had been developed to provide the finest student tracking, retention and reporting system for schools and colleges, keeping in mind today’s complex processing requirements and compliance. The software has been developed in a pure internet environment.
    • The system is designed using web architecture and XML as the basic medium of data interchange.

    It uses browser-based interface and its tree-based navigation allows users to navigate to the context very fast. It provides online integrated information of student to the administration of the education institutions enabling transactions through seamless connectivity.

  3. Describe about “Student Tracking” service provided by StudentSpace.

    The purpose of student tracking is to track the student’s activities like personal plans, grades and education plan. Educational planning is key aspect of StudentSpace. There are two ways for Education Plan, one is manually planning (MEP) and another is automatic planning (AEP). AEP (Automatic Education Plan) automatically plans the education plan of all Active students for their future semesters. AEP runs for single semester at a time. AEP can run for unlimited semesters. However, it has to be run for one semester at a time. While Manual planning is done by the student itself in which he/she can plan for the current and future semesters. For those students who have not planned manually, AEP plans would be more suitable for them

  4. Describe about “Early Alert” service provided by StudentSpace

    In Early Alert module which allows the administrator, faculty, advisor, counselor, retention coordinator, faculty, Lab specialist, Director Learning Zone and Director online access to a student’s education records for the purpose of making a timely intervention before it’s too late.  A timely intervention facilitates the following outcomes: Social or behavioral problems are addressed before they become unmanageable; Attendance and academic problems are noted and addressed before the student is in a failing situation; The chance of a successful outcome for the student is increased – thus increasing retention and overall student success. To facilitates timely communication between administrators, faculty and advisors in order to help students succeed. The Early Alert gathers all information about a student in one place online for quick access. Administrators, advisors, counselors and faculty can use the program to communicate to each other regarding a student’s grade(s), attendance, or other issues pertinent to the student’s enrollment or retention at the college. Early Alert allows the participant to raise an alert and suggest a solution and it provides a way for the recipient to respond to the suggestion or follow up on the feedback by instructor is received for measuring success of the intervention and / or further follow up.

  5. Describe about “Student Services” service provided by StudentSpace.

    These services mainly relate to counseling, guidance and advices from faculty/user who has been assigned rights. User can add Services for single student from Student Module or can also add services for Multiple Students from Batch Mode of Student Services Page from Homepage. Another feature available with services is that User can also add services by attaching competencies to those services from Student Services page in Student Module.

     NOTE: Only User with Rights can Add and Modify the Information.

  6. Describe about “Advising Log” service provided by StudentSpace.

    Advising Log shows all advises which are given to students by advisors   related to student’s performance. Advising log keep log of advising information. Advising log page works for particular student in Student Module. User can give and view the advice to the particular student by searching and selecting from “Student Search” page or “Quick search”.

  7. Describe about “Student Retention” service provided by StudentSpace.

    The purpose of Retention is to keep track of the student whether he/she is continuing with the program he/she had taken to study in a particular semester or discontinued. If discontinued, the reason for discontinuing the same.

  8. Describe about “Assessment of Student Learning (ASL)” service provided by StudentSpace.

    In the ASL (Assessment of Student Learning) module; the student is assisted, based upon skills or competency level in different areas of competency within a course. The different competencies are created by Admin for each course. Usually 7-9 competencies are made for each course.  There are two types of competencies; one is objective and the other one is subjective. In the case of objective type; the multiple question and answers are prepared for a course and for the subjective type; test box is given to type values, so that faculty can provide the suggestion. The rank is given to the competency level in which it is created for the competency.

    The purpose of “Assessment of student learning” page is to give the interventions i.e. ‘Quantitative Measures’, for the different competencies to the student(s) and to add ‘Qualitative Measures’, by qualitative it means faculty can write in the subjective manner the student performance in that competency for a course-section. 

  9. Describe about “Reports/Data Analytics” service provided by StudentSpace.

    Reporting is the process of communicating information about student achievement and progress at a point in time. Reporting in StudentSpace is used for a variety of purposes, is tailored to meet the needs of a range of audiences and is in different forms. Reporting to students, parents, teachers and the system helps decision making for future student learning. Reports are the documents containing information which are organized in a narrative, graphic, or tabular form, prepared on periodic, regular, or as required basis.

  14. How many types of competencies exist?

    Student competency, Course Competency, Faculty Competency & Program Competency. 

  15. What are the minimum requirements for importing the student?

    University/College, Campus/Center, D.O.B., Gender, SS No, First name, Last name & Work group. 

  16. How can we search the parent?

    By Student ID (recommended), by parent name, by Campus/Center and Tutor’s. 

  17. What are the minimum requirements for importing the faculty?

    Faculty SS No, First name, Last name, University/College, D.O.B, Gender & Work group. 

  18. How a faculty can view those students whom he/she teaches?

    Through his/her Faculty login ID. 

  19. How many types of Early Alerts exist?

    Academic Alert & General Alert 

  20. What is single alert & group alert?

    Single alert is meant for single student while group alert can be sent to group of students. 

  21. Can we see the total alerts to a particular student?

    Yes, we can see total alerts raised as semester wise. By default, it shows current semester wise.

  22. How can we search total number of Advisors/counselor/Faculty available in the university?

    From home page click faculty related icon & search staff by work group. 

  23. Can we assign an existing Faculty member as Admission member also?

    Yes, it can be done in faculty space. 

  24. Is it possible to send feedback without intervention in early alert system?

    No, it is not permitted.

  25. Is it OK if no feedback is given to an alert?

    Yes, it is allowed as it is not mandatory, it is left for administrator or related staff to decide.

  26. What is academic standing?

    It is performance of the student in the selected semester. 

  27. Is it possible for the student or faculty to add programs?

    Yes, Admin can set rights for same. By default, it is Admin who has rights to add programs. 

  28. What happens in case we do not enter gender in back end?

    By default, it is set to male.

  29. What happens if we do not enter date of birth in back end?

    By default, it is set to 01/01/1900.
